How to Organise Tableware for Multiple Food Counters

A simple counter plan for keeping the right plates, bowls, cups and spoons close to each food station at an event.

Give each food counter the tableware it needs, then keep a labelled refill stock nearby. This makes it easier for staff to serve the right item and see which counter needs more. It also stops all counters from drawing from one uncounted pile.

Make a counter sheet

Write one line for each counter. Name the food, the item, the starting quantity and the person who will ask for refills. A simple example might look like this:

CounterTableware to place thereCheck during service
Snacks and chaat7-inch plates, spoons if neededIs the plate large enough for the usual portion?
Main meal10-inch or 12-inch plates, 180 ml bowlsAre bowls and plates running down at the same rate?
Tea and drinks120 ml or 250 ml cupsIs one drink size being used more?
DessertSmall plates or bowls, depending on the dishIs the item easy to carry away from the counter?

This is a layout example, not a fixed product list. Match items to your menu. A counter selling soup needs a different test from a counter serving dry snacks. If a plate will carry wet food, try it with that food before the event.

Put stock where staff can use it

Keep cartons dry and off the floor. Label them with the item name and size. Open only the cartons needed for the first service period; keep the rest as reserve stock. Place a small working stack at each counter so guests and staff do not have to cross the service line for a refill.

Choose one person to note refills. A basic count of cartons opened and pieces left at the end will improve the next order. If counters share one stockroom, use the same names as the order: “7-inch plate” and “120 ml cup” are clearer than “small plate” and “tea cup.” Our mixed-order guide helps make that first list.

Walk the route before guests arrive

Check how food moves from kitchen to counter, and how a guest carries a loaded plate away. Look for narrow turns, drink queues and bins that block the route. Put disposal points where guests finish eating. If you plan to compost used tableware, arrange collection and a suitable compost route before service; our event composting guide explains the planning steps.

For a new layout, run one short test with staff and the actual menu. Our trial guide gives a checklist. If you need tableware for several counters, send the counter list for a bulk quote with the delivery date and PIN code.
